AIM OF THE JOB


Switchboard operators must manage a high volume of incoming and outgoing calls while attempting to make each caller’s experience enjoyable. When a customer calls, the operator will pay close attention to learn why they are calling, handle any inquiries or concerns, and respond in a precise and timely manner.

REQUIREMENTS & EXPERIENCE
A matriculation certificate is required, while a higher degree is preferred.
Proficiency in Microsoft Office and Gmail.
1-2 years of experience in a comparable position; familiarity with working with clients.


DUTIES
Operator of a switchboard
Take care of telephone inquiries and email correspondence in a timely manner.
Respond to questions and complaints and refer them to the appropriate Signa entity or person.
When taking messages or transferring calls, act professionally.


Give the caller a positive experience by making him or her feel like the situation is being treated seriously and that the details are being understood.
Interact with consumers in a way that demonstrates exceptional client-centeredness and customer care.
Receives all telephone and electronic inquiries, such as those sent to the info@signa.co.za email address, and directs them to the appropriate parties.
Regardless of how unusual the inquiry or query may be, respond to it professionally and be ready to locate the appropriate person to report the subject to.
Recognise the services provided by the company, the organization’s structure, and the locations of the company’s main personnel and subject matter specialists in each facility and geographical area.
In case of need, a receptionist’s backup.
Working together as needed with Marketing and all important employees/subject matter experts.
Carry out all office duties and administrative responsibilities as directed by the Signa Group Office Manager.


Assistance with daily office tasks, such as scheduling catering and working with the front desk staff and management as needed.


Assist with and carry out office administration, such as scheduling and overseeing boardroom reservations.
Keep an eye on the stock levels of catering supplies.
Maintain an asset register for catering equipment.
Assist with daily supervision and guidance of cleaning workers to ensure boardrooms are maintained in a professional manner to improve business image.
Compile client and vendor information, then enter it in the company database.


Receptionist
Welcome and formally introduce guests at Reception.
Request that the guest be picked up from Reception by calling the person they came to see.
Help visitors complete the visitors’ register and any other necessary paperwork.


Ensure that every Signa visitor is screened and helped in a kind, professional manner.
Direct shipments to the appropriate locations.
Participate in Signa Group office activities, such as planning catering for any workplace gatherings and working with management as needed.
Taking and delivering courier shipments for Signa Group.
CAPABILITIES & SKILLS
• Have the ability to multitask under pressure; • Be a good listener.



Possess honed interpersonal abilities and superb customer service manners.
Be professional in your look and telephone communication.
Be comfortable with electronic communication tools.
OHS

• Must adhere to all applicable OHS, security, and disease control regulations for both the business environment and client environments.
