1. Role Summary
As the first point of contact for the ADvTECH campus, the Receptionist plays a key role in creating a welcoming and efficient environment. This position involves a wide range of responsibilities—from managing the front desk and switchboard to providing administrative and customer service support to various departments.
2. Front Desk Excellence
Greet all visitors, students, and parents with professionalism and warmth.
Maintain a clean, organized, and presentable reception area at all times.
Display and replenish marketing brochures and fact sheets.
3. Call Handling & Switchboard Operations
Operate the switchboard: answer, screen, and forward calls promptly.
Collect relevant caller information to direct them efficiently.
Record detailed messages and ensure timely delivery to staff.
Log all incoming calls on the service desk system.
4. Visitor Engagement & Customer Service
Offer refreshments to all guests.
Announce visitor arrivals and manage their routing.
Handle enquiries knowledgeably and provide accurate information on services offered.
Resolve customer complaints within 24 hours and ensure follow-ups.
5. Administrative Coordination
Manage boardroom bookings and update internal contact lists.
Assist with admissions, student sign-outs, and attendance records for events.
Consolidate feedback reports and maintain customer databases.
Support principals with scheduling, functions, and curriculum-related admin.
6. Courier & Mailroom Logistics
Receive and distribute incoming mail and deliveries.
Track outgoing courier items and compile monthly reports.
Ensure smooth coordination with drivers and external couriers.
7. Event & Campus Support
Coordinate transport for campus events.
Book appointments for student recruitment teams and assist with diary management.
Assist in setting up for school tours, open days, and internal functions.
8. Emergency & Safety Support
Serve as the emergency contact point for all urgent campus-related matters.
Administer basic first aid to students when required.
Conduct health safety checks (e.g., temperature screenings if needed).
9. Office Resource Management
Maintain stationery supplies and order labels when necessary.
Track and manage remotes, microphones, and technical equipment.
10. Desired Skills & Qualities
Technical Skills:
Switchboard handling
MS Office & MS Access proficiency
Time management and problem-solving
Familiarity with STASY or similar student admin systems
Soft Skills:
Strong verbal communication
Attention to detail
Professionalism and confidentiality
Patience, flexibility, and multitasking ability
11. Minimum Requirementsnts
Matric (Grade 12) or equivalent with typing proficiency
3+ years of experience in a fast-paced reception/admin role
Computer literacy essential (MS Office)
Knowledge of STASY or similar system preferred
