Position Overview
Redefine Properties Limited is seeking a well-organized and professional Facilities Administrator/Receptionist to provide administrative and clerical support to center management. This role involves handling office duties, managing communication, assisting with property and facility operations, and upholding the company’s reputation through professional interaction with clients and staff.
Key Responsibilities
Administrative & Clerical Duties
Typing letters, reports, and general correspondence
Filing, sorting mail, routing emails and faxes
Managing document deliveries, collections, and courier services
Ordering and maintaining stationery supplies
Reception Management
Operating and managing the switchboard
Taking and relaying messages promptly
Welcoming clients and ensuring proper notification to staff
Scheduling and managing boardroom bookings
Facilities Support
Assisting Property/Facilities Manager with various tasks
Requesting quotes and issuing job orders via internal systems
Calling contractors and following up on job progress
Monitoring and updating Occupational Health & Safety (OHS) files
Handling turnovers, credit control, and tenant issues
Communication & Coordination
Maintaining strong relationships with service providers and internal teams
Keeping management updated on area activities and unresolved issues
Ensuring a courteous and professional environment at all times
Required Skills & Competencies
High integrity and professionalism
Excellent communication skills (oral & written)
Attention to detail and strong organizational abilities
Proficient in Microsoft Office Suite
Strong time management and problem-solving skills
Ability to work under pressure with quick turnaround
Conflict and dispute resolution capabilities
Qualifications & Experience
Grade 12 (Matric) – Essential
Administrative or Technical Diploma/Certificate – Advantageous
2+ years in general administration
1+ year systems experience
Experience in property, customer service, or supplier liaison – Preferred
